This Privacy Policy explains how Durgin Limited Company, a Georgia LLC ("Durgin Limited Company," "we," "us," or "our"), collects, uses, and shares information when you use the Durgin Limited Company rabbit show management and registry service at haresregistry.com and related applications (the "Service"). By using the Service, you agree to this Privacy Policy. The service is operated by Durgin Limited Company, a Georgia LLC.
1. Information We Collect
Information you provide
- Account information: name, email address, password (stored hashed), and account preferences.
- Profile and contact information: phone number, mailing address, club affiliations, breeder identifiers, and similar details you choose to add.
- Show, registry, and rabbit/cavy data: entries, ear numbers, pedigrees, breed and variety information, ownership records, judging notes, awards, and related show records you submit.
- Payment information: billing name, address, and the last four digits of your card (full payment details are collected and stored by our payment processor; we do not store full card numbers).
- Communications: messages you send to us (support, suggestions, feedback) and email content you send through the Service (such as show reports or sanction requests).
Information collected automatically
- Usage data: pages viewed, features used, timestamps, referring URLs, and similar telemetry.
- Device and log data: IP address, browser type, operating system, device identifiers, and crash or error logs.
- Cookies and similar technologies: used to keep you signed in, remember preferences, and understand how the Service is used. You can control cookies through your browser settings, though disabling them may affect functionality.
Information from third parties
We may receive limited information from our payment processor (for example, confirmation that a charge succeeded) and from email or deliverability providers (for example, bounce notifications).
2. How We Use Information
We use the information we collect to:
- provide, operate, secure, and improve the Service;
- create and manage your account, process subscriptions, and handle billing;
- generate show reports, registry records, and award documentation you request;

3. How We Share Information
We share information only as described below.
- Within your account or club: data you submit to a show, club, or team account is accessible to authorized members of that account, including show secretaries, superintendents, and judges as appropriate to their role.
- Public-facing show data: show results, awards, and registry records you publish through the Service may be publicly visible if you or your club choose to publish them.

Service providers: we use third parties to host
infrastructure, process payments, deliver email and SMS, and monitor
errors and performance. We currently use:
- Linode (Akamai) for cloud hosting and infrastructure;
- Stripe for payment processing and subscription billing;
- SendGrid for transactional email delivery;
- Twilio for SMS and voice communications;
- New Relic for application performance monitoring and error reporting.
- Legal and safety: we may disclose information when we believe in good faith it is required by law, legal process, or to protect the rights, property, or safety of HARES, our users, or others.
- Business transfers: in connection with a merger, acquisition, financing, or sale of assets, information may be transferred to the successor entity, subject to this Privacy Policy.
We do not sell your personal information.
4. Data Retention
We retain personal information for as long as your account is active and as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. Show, registry, and pedigree records may be retained longer because they form part of an ongoing historical record that breeders, clubs, and registries rely on.
5. Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit, hashed passwords, and access controls. No system is perfectly secure, and we cannot guarantee absolute security. Notify us promptly at [email protected] if you believe your account has been compromised.
6. Your Choices and Rights
You can:
- access and update your account information through your account settings;
- delete your account or request deletion by contacting us — note that show, registry, and pedigree records you contributed to clubs or shows may be retained as part of those clubs' records;
- opt out of non-essential marketing emails by using the unsubscribe link in those messages (transactional and account-security messages will continue);
- control cookies through your browser settings.
Depending on where you live, you may have additional rights — including rights to access, correct, delete, port, or restrict processing of your personal information, and to object to certain processing. 7. Children's Privacy
The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13 without verifiable parental consent. Many youth exhibitors participate in rabbit shows; if you are a parent or guardian and believe a child under 13 has provided personal information without your consent, contact us and we will delete it.
8. International Users
HARES is operated from the United States, and information we collect is processed and stored in the United States. If you access the Service from outside the United States, you understand that your information will be transferred to and processed in the United States, which may have data protection laws different from those in your country.
9. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will provide reasonable notice (for example, by email or in-app notice) before they take effect. The "Effective date" above indicates when this Policy was last updated.
